Data Deletion Instructions

Two different kinds of data flow through ZevoBot and they are deleted in different ways. Data about your business account is yours and you can delete it yourself. Data about conversations with a business's chatbot belongs to that business — we process it on their behalf and they control its deletion. Which route applies to you is set out below.
1. If you connected a business account to ZevoBot
This covers you if you signed in to ZevoBot and connected a WhatsApp Business Account, Instagram account, Facebook Page, Shopify store, WooCommerce site, or Google Calendar. In data-protection terms you are the controller and ZevoBot is your processor.
- Disconnect one integration. In your ZevoBot dashboard, open the chatbot → the relevant channel → Disconnect. The stored access credentials for that channel are deleted immediately, along with the synced message-template records.
- Remove the app at Meta. Removing ZevoBot from your Meta Business settings sends us a deauthorization notice, and we delete the stored credentials for the WhatsApp connections you authorised without any further action from you.
- Delete a chatbot. Dashboard → the chatbot → Settings → Danger Zone. This removes the chatbot with its training documents, embeddings, conversations, leads, and bookings.
- Delete your whole account. Dashboard → Settings → Danger Zone. Your chatbots, documents, conversations, leads, and associated assets are deleted immediately by cascading deletion. Residual copies in encrypted backups are purged on the normal rotation cycle.
- Export first if you need to. Dashboard → Account → Export data. Deletion cannot be undone, so take an export before you delete anything you may want later.
2. If you messaged a business that uses ZevoBot
If you chatted with a business on WhatsApp, Instagram, Messenger, or a website widget powered by ZevoBot, those messages belong to that business, not to us. We store them only to deliver the service they asked us to run.
- Ask the business directly. They can erase your records — conversations, messages, leads, bookings, opt-in records, human-handoff notes, and any media you sent — from their ZevoBot dashboard, matched by your phone number, email, or chat session. We assist them on request.
- Or write to us at team@zevobot.com with the WhatsApp number or email the data relates to, and the business you messaged. As a processor we will pass the request to that business and support them in actioning it. We respond within 30 days.
3. Stopping WhatsApp messages immediately
You do not need a deletion request to stop being messaged. Reply STOP to any WhatsApp message from a business using ZevoBot and we stop sending to your number at once. The keyword is recognised in several languages, the opt-out applies to automated replies, notifications, and broadcasts alike, and businesses cannot switch it off — it is enforced by the platform, not by them. Reply START if you later want to resubscribe.
4. What is deleted automatically
Even without a request, a scheduled job purges data on these timetables:
- Conversations and messages (including WhatsApp messages, attached media, and human-handoff records): 12 months after the conversation's last activity.
- Leads and bookings: 24 months.
- WhatsApp opt-in records: 24 months of inactivity.
- Access credentials for a disconnected integration: immediately on disconnection.
5. The one record we keep on purpose
Opt-out records are retained after everything else about a contact is gone. They hold only the phone number, the business it applies to, and the time of the opt-out, and they exist as a suppression list: an opt-out that could be erased — by us, by the business, or by a retention job — would be an opt-out that a later re-upload could quietly undo. Keeping it is what makes "never message me again" mean it. If you want that record removed too, ask us and we will explain the consequence before actioning it.
